Find Free Time for Events
You may search for free time (time available for an event) among a selected group of users. Synchronize considers a user unavailable if one of the following is true:
- The user is already scheduled for an event during the selected block of time, and has responded yes or maybe to that event or has not yet responded.
- The user's workday start and end times do not encompass the event time.
- The time is during a system holiday your Synchronize administrator set as a non-workday.
- Click the Find free time button below the weekly schedule.
Synchronize displays available work hours of the selected users in the Workday field, and the Event duration list. The Find free time button changes to Find first.
- Specify the duration of this event using the Event duration list. You may choose 15 minutes, 30 minutes, 1 hour, 2 hours or 4 hours.
- Click Find first.
Synchronize displays the first available block of free time in color (green by default) in the weekly schedule and selects the time in the timeline. The Find first button changes to Find next. If the found block of free time is on a subsequent day, the date displayed in the Day-at-a-Time changes to the new date.
- Click Find next to find the next available block of free time until you are satisfied with the time found.
- When you are satisfied with the time found, continue to create the event.
