Set Calendar Permissions

Calendar permissions let you control who may read or modify your calendar, schedule events, to-dos, and reminders for you, and manage your calendar on your behalf (act as your agent). Permissions also include allowing or disallowing overbooking and setting the hours of your workday.

  1. From the Options menu, choose Calendar Permissions. Synchronize displays the Calendar Permissions dialog box. Buttons at the top of this dialog box allow you to set permissions for:

    Readers:Users who may open and read your Day-at-a-Time and view your calendar in the daily, weekly or monthly format.

    Writers:Users who may change calendar permissions if they open your Day-at-a-Time.

    Schedulers: Users who may schedule you for events, assign you a to-do and send you reminders. By default, all Synchronize users have this permission. You need to deselect those you don't want to have scheduler permission.

    Agents: Users who may have complete access to your calendar and who manage it on your behalf. To other users, any calendar item created by your agent appears to have been created by you.

  2. Click the Readers button and then select the users to whom you want to grant this permission. Similiarly, set the permissions for Writers, Schedulers, and Agents.

  3. Click Allow or Disallow for Overbooking. Overbooking refers to scheduling more than one event at the same time for the same user. If you disallow overbooking, other users who attempt to overbook you when scheduling an event will see a warning message and will not be allowed to do so.

  4. The Workday Start and Workday End fields default to 8:00 a.m. and 5:00 p.m. To change your workday hours, click on the hour or minutes and then click the up and down arrow to change the time. When other users look for free time for an event only the hours within your workday are considered free. You may, however, be scheduled for events that do not fall within your workday.

  5. To apply the permissions to your calendar, click the OK button. If you instead click the Cancel, none of the changes are saved and your old permissions remain in effect.
